Job Description
Elation Health seeks a Contract Operations Associate to join their Business Systems Team on a contract basis. The employer produces a cloud-based clinical SaaS platform called Elation, which aims to improve quality of life for physicians and patients. This position is ideal for an individual early in their career who possesses strong attention to detail, appreciates structured procedures, and wants hands-on exposure to SaaS revenue operations. In this role, you will be part of the final review process for signed customer agreements before onboarding and billing start. You will handle daily review queues, verify order form details against Salesforce opportunities, and collaborate closely with sales and customer success teams to resolve discrepancies. Work involves following established checklists, leveraging AI-assisted review tools, correcting minor routine errors directly in Salesforce, and escalating complex exceptions. The engagement reports to the Senior Director of Technical Operations, with daily direction from the team's AI Operations Specialist. Successful completion of these duties helps ensure customers are billed accurately from day one while preventing downstream cleanup tasks for finance and customer success.
Responsibilities
- Manage a daily review queue of signed customer deals, starting with new agreements, downgrades, and simple add-ons before expanding to renewals
- Verify that order forms are completely signed and dated by both customers and Elation to establish execution dates
- Cross-reference execution dates, close dates, and contract start dates across order forms, Salesforce opportunities, and quotes
- Reconcile quotes against order forms line by line for products, quantities, terms, unit prices, and totals
- Confirm that required data fields are filled, discounts have documented approval, and accounts represent active practices rather than trials
- Perform routine corrections directly in Salesforce when procedures allow and advance eligible deals to Closed Won status
- Track automated downstream handoffs for billing records and onboarding projects, flagging any failures
- Return problematic deals to account executives or customer success managers with precise notes detailing necessary fixes
- Follow up on returned deals to ensure corrections are accurate and re-review them promptly
- Coordinate with deal owners during high-volume periods such as month-end to prioritize blocked deals
- Document repeat issues by rep, team, or deal type to help improve training, Salesforce guardrails, and error messages
- Escalate non-standard situations outside the checklist, such as contract exceptions, unusual date requests, or custom agreements
- Run AI-assisted review tools initially on each deal, complete manual checklists, and log issues in the ticketing system
Requirements
- Attention to detail with a habit of double-checking work
- Process discipline to follow checklists consistently and keep clean records
- Clear, proactive communication skills for writing concise notes and using Slack with a distributed team
- Collaborative and tactful approach when requesting paperwork fixes from colleagues
- Reliable follow-through to track open items until resolution
- Sound judgment to recognize unusual circumstances and escalate appropriately
- Eagerness to learn new systems and terminology while accepting feedback
- Willingness to utilize AI-assisted tools in daily tasks and verify their outputs
Qualifications
- Exposure to Salesforce or another CRM
- Familiarity with contracts, order forms, invoicing, or billing
- Prior experience in an operations, finance, administrative, or SaaS environment
- Coursework or interest in business, finance, accounting, or operations
