Job Description

The company seeks a Lead for Administration and Workspace to oversee everyday facilities management and office operations at its San Mateo, California site.

This position suits a hands-on professional who possesses strong organizational skills, independent judgment, and a service-oriented mindset. The person in this role serves as the primary local contact for workplace matters, collaborating closely with building management, global workspace teams, human resources, information technology, finance, procurement, legal, and other departments.

Key duties include supervising office operations, managing vendor relationships, tracking expenses against approved budgets, and ensuring the workplace remains safe, well-maintained, and fully supplied. The individual also handles employee catering, travel arrangements, safety and emergency readiness, new hire onboarding support, and cleaning standards.

Responsibilities

  • Lead daily office operations and conduct routine walkthroughs to track repairs, service issues, and employee requests
  • Coordinate preventive maintenance and repairs with building management and qualified vendors for physical assets
  • Maintain inventory levels for office supplies, stationery, and pantry items
  • Serve as the local point of contact for the landlord, building management, and service vendors
  • Compare vendor quotes, onboard approved providers, and ensure signed contracts and records are properly maintained
  • Prepare monthly office expense reports, track spending against approved budgets, and reconcile credit card transactions
  • Manage employee meal arrangements, vendor coordination, dietary requirements, and food delivery schedules
  • Assist employees and visiting colleagues with approved local travel and hotel bookings
  • Coordinate emergency readiness, safety equipment inspections, first-aid inventory, and incident escalation plans
  • Partner with human resources and information technology to support new hire onboarding and departing employee offboarding

Requirements

  • At least five years of relevant experience in office administration, facilities management, workplace operations, or hospitality
  • Experience independently managing office services and coordinating multiple vendors
  • Hands-on experience with expense tracking, budget management, invoice documentation, and contract administration
  • Working knowledge of Microsoft Excel, Word, and PowerPoint
  • Strong written and verbal English communication skills

Qualifications

  • Bachelor's degree or equivalent qualification
  • Master of Business Administration or a qualification in hospitality, facilities management, or business administration
  • Prior lead or supervisory experience
  • Experience supporting a United States corporate office, including working with local vendors and building management
