TubeScience, a performance-driven creative and media company specializing in video advertising for brands, is seeking a remote Payroll Manager to oversee its entire payroll operation. Operating within a fast-moving and collaborative setting, the organization needs a hands-on professional to independently manage U.S. payroll, contractor payments, and Employer of Record support. Initially carrying no direct reports, the incoming individual will take full ownership of payroll execution from start to finish, tackle complex challenges, and establish dependable controls and procedures. The position suits an autonomous specialist with extensive practical experience in U.S. payroll who values accuracy, clear communication, and structured growth.
Responsibilities
- Run regular and off-cycle U.S. payroll cycles using the Rippling platform
- Verify and validate all payroll inputs such as new hires, departures, salary adjustments, bonuses, deductions, and expense reimbursements
- Process and reconcile payments for independent contractors
- Oversee payroll and bonus coordination for personnel hired through Employer of Record partners
- Handle multi-state payroll obligations including tax withholdings, overtime calculations, final payouts, state filings, and agency notices
- Administer benefit deductions, wage garnishments, and retirement plan contributions
- Investigate payroll errors to determine root causes and ensure complete resolution
- Respond to employee payroll inquiries as the primary point of contact
- Handle year-end tax requirements, annual reconciliations, and the issuance of W-2 and 1099 forms
- Create and maintain standard operating procedures and financial controls to improve audit readiness
Requirements
- At least 5 years of overall payroll experience
- Minimum of 3 years of direct experience administering U.S. payroll
- Hands-on experience processing payroll within the Rippling software platform
- Background in managing multi-state U.S. payroll operations
- Familiarity with California overtime guidelines, tax exemptions, and final-pay regulations
- Proficiency with Excel or Google Sheets for reconciliations and report generation
- Professional fluency in written and spoken English
Qualifications
- Prior experience with California and/or New York payroll regulations
- Experience handling payroll tax registrations, agency notices, and official correspondence
- Involvement in 401(k), workers' compensation, or payroll tax audits
- Familiarity with employee census gathering and benefits reconciliations
- Background in administering Employer of Record payroll and contractor payments
- Experience working remotely from outside the U.S. for an American company
- Experience building or maturing a payroll department inside a startup or high-growth business
