In this full-time remote position, the incoming professional will provide essential administrative and coordination support to ensure that customer orders, shipments, product launches, promotions, and sales data are accurately managed. Responsibilities include tracking ship windows, updating the order status document, processing retailer claims, and maintaining commercial records. The ideal candidate possesses a strong commercial mindset, excellent attention to detail, and the ability to proactively manage multiple priorities while working with international teams and retail partners.
The work schedule runs from Monday through Friday, operating from 3:00 PM to 11:00 PM Philippine time, which aligns with 8:00 AM to 4:00 PM UK time. This position involves no people-management responsibilities and requires close collaboration with National Account Managers, Channel Managers, merchandising groups, and overseas colleagues.
Responsibilities
- Process and expedite customer orders across international and national FOB, palletised, and direct-to-store-delivery channels
- Monitor ship window availability with product teams and highlight non-conforming dates
- Manage the Order Status Document by inputting orders for review and helping secure production timing
- Remove estimates when orders are placed according to pre-agreed guidelines and report back to the commercial team
- Interpret FOB shipment details provided by the China team and flag discrepancies
- Liaise with retail merchandising teams and overseas colleagues to resolve issues
- Maintain files for retailer promotional calendars, estimates versus actuals, and accruals versus spend
- Process retailer statement of account claims to pre-agreed metrics
- Collaborate on product set-ups, management of deadlines, and launch dates with retailers and internal stakeholders
- Build presentations for range, pallet, and when-it's-gone-it's-gone offers created by account managers
Requirements
- Three to five years of relevant experience in sales coordination, sales operations, commercial operations, or order management
- Proficiency in Microsoft Office, particularly Excel, Outlook, and PowerPoint
- Intermediate to advanced Excel skills for report maintenance, data tracking, and commercial summary preparation
- Ability to interpret order management, sales, stock, and promotional reporting data to spot discrepancies
- Strong written and verbal communication skills for interacting with multiple stakeholders and overseas teams
- Availability to work Monday through Friday from 3:00 PM to 11:00 PM Philippine time
