The accountant handles general ledger transaction work, including coding vendor bills by GL account and department, preparing payment batches for Controller approval, keeping vendor files and W-9s current, and producing 1099s. Card and expense activity from Ramp and similar programs is also managed, including chasing missing receipts and reconciling statements monthly. Transactions in QuickBooks Online are reviewed each day, and monthly bank reconciliations cover all operating and sweep accounts. Receivables and undeposited funds are matched across the Maxio and QuickBooks Online records every month, together with the billing group.
Close work covers prepaids, fixed-asset registers, depreciation, accruals, recurring entries, and balance sheet tie-outs. The accountant helps the Controller with sales tax, tracking filing obligations in states where Miva has nexus, plus tying Avalara out to the ledger. Audit-ready records are expected, along with help on audits and tax returns. The posting also welcomes enthusiasm for applying Claude or similar AI assistants to routine accounting automation.
Responsibilities
- Code vendor invoices and build payment batches for Controller review
- Track corporate card expenses and follow up on missing receipts
- Review bank feeds daily and complete monthly bank reconciliations
- Match receivables and undeposited cash across Maxio and QuickBooks Online
- Complete month-end close entries such as prepaids, fixed assets, depreciation, and accruals
- Support sales tax tracking and reconcile Avalara to the general ledger
- Keep audit-ready documentation and assist with audits and tax filings
Requirements
- A degree in accounting or an adjacent discipline, or comparable on-the-job experience
- Three or more years of accounting work, including month-end close duties
- Practical GAAP accrual knowledge covering prepaids, fixed assets, and accrued expenses
- Hands-on use of AI assistants like Claude for accounting tasks
- Hands-on QuickBooks Online or comparable general ledger experience
- Comfortable in Excel with lookup formulas, pivot summaries, and reconciliation layouts
- Able to tie out figures between billing software, expense software, and the general ledger
- Precise work, meeting close deadlines solo
Qualifications
- Know-how in Maxio or comparable subscription billing systems, e.g., Chargebee, Zuora, or Recurly
- Prior use of Ramp or a similar card and spend management tool
- Background in software-subscription or online-retail bookkeeping, including ASC 606 revenue
- Time spent on a small finance team that answers to a Controller or CFO
- Some familiarity with sales tax basics
