Africa Trade and Distribution Co is seeking a Trade Back-Office Officer to join its Back Office department in Harare. This on-site, full-time career opportunity involves supporting the trade back-office function to ensure proper recording, timely processing, confirmation, settlement, and reconciliation of commodity transactions. The role suits professionals with experience in trade finance, financial operations, or back-office administration who can maintain data integrity and adhere to internal and regulatory standards.
The chosen candidate will collaborate closely with trading and operations groups, as well as the Finance Department, to maintain accurate operational data for reporting and decision-making on Africa Trade and Distribution Co's integrated trade platform. Key duties include managing trade documents, coordinating settlements, processing invoices, tracking performance metrics, and assisting with digital transformation initiatives.
Responsibilities
- Capture and confirm all trade transactions accurately and promptly within trading and ERP systems, verifying details like pricing, volume, delivery schedules, and contract terms with counterparties
- Partner with the Finance Department and counterparties to handle payment schedules, track buyer receipts, and ensure timely settlement of trade obligations
- Conduct routine reconciliations of trade data regarding volumes, pricing, deliveries, and payments against supplier and buyer records
- Oversee documentation for all transactions, including shipping paperwork, customs files, invoices, contracts, and payment records
- Enforce compliance with regulatory standards and internal policies while maintaining controls for trade processing, reconciliation, and settlement
- Coordinate the invoicing workflow, handling debit notes, credit notes, and adjustments based on contract terms
- Monitor and report on key performance indicators concerning processing efficiency, reconciliation accuracy, discrepancy resolution, and settlement speed
- Participate in process improvements and digital transformation efforts such as ERP rollouts, automation tools, and trading platform implementations
Requirements
- Undergraduate degree in Finance, Accounting, Business Administration, Economics, or a related field
- 2 to 4 years of professional experience in trade back-office operations, financial operations, trade finance, or related areas
- Familiarity with trade processing, reconciliation, and settlement workflows
- Proficiency with financial transaction systems, trading platforms, and ERP software
- Knowledge of compliance standards, regulatory requirements, and trade documentation such as customs files, invoices, shipping documents, and contracts
- Analytical and numerical capabilities
Qualifications
- Professional qualification or diploma in accounting or finance
- Professional certification in accounting including ACCA, CIMA, or CIS
- Certification in trade operations, financial management, or trade finance
- Certification in risk management or compliance
- Prior background in agricultural or commodity trading sectors
- Previous exposure to settlement processes, financial reporting, and reconciliations
- Understanding of trade finance instruments and their operational impacts
