Job Description
Arlo Solutions, an information technology consulting company, is hiring an Event Coordinator and Virtual Event Specialist to assist the Office of Acquisitions at a federal health and human services agency with planning virtual, hybrid and in-person gatherings. The headline project is the agency's first two-day Industry Day and Summit near Washington, DC, with roughly 500 people on site and 1,200 joining online. Other Office of Acquisitions events may also be covered.
The specialist owns the online and hybrid side of attendance. That means configuring the event software (direct Stova experience is a requirement), creating the branded event site, companion app and email outreach, managing registrations and speaker submission workflows, running live streams and virtual breakouts, enabling polls, chat and moderated questions, and coordinating cameras, microphones, meeting links and bandwidth with AV crews. Every plenary recording must reach the government, and materials must follow Section 508 accessibility rules.
Before each event, the specialist helps assemble the detailed schedule and operations playbook, runs rehearsals, tests platforms and checks speaker connections, and writes fallback plans for outages or schedule changes. During events, the specialist directs virtual operations, handles technical issues for speakers and online attendees, and passes decisions needing government direction to the designated contact. Afterward, attendance and engagement data are compiled, lessons-learned notes prepared and files delivered to the government repository.
Applicants need at least three years of virtual and hybrid event work, including at least one event drawing 1,000+ simultaneous online viewers, and hands-on administration of an enterprise event platform. Experience with live streaming, engagement tools, Microsoft Teams, Zoom for Government or Webex, and federal agency events is required. The baseline is a bachelor's degree plus five years of event coordination, or a high-school diploma plus eight years. The position requires living near Washington, DC, obtaining a federal background investigation and US work eligibility. Relocation and local travel costs are not covered. The posting does not describe benefits.
