The person in this role will maximize executive efficiency through careful calendar management across multiple time zones, travel planning using Navan, and expense report processing. Responsibilities also include preparing meeting agendas and slide decks, attending specific meetings to handle Zoom logistics and note-taking, and coordinating team operations and events. The ideal candidate maintains strong organizational skills, handles confidential information with discretion, and displays a curiosity for emerging artificial intelligence tools to improve daily productivity.
New hires typically begin at the start of the designated salary tier. Depending on location, the annual base salary range falls between $101,000 and $165,000, supplemented by equity options, monthly stipends for health, wellness, and technology, and comprehensive medical, dental, and vision insurance with fully covered premiums for employees and their dependents. Responsibilities
- Manage executive calendars, schedule appointments, and resolve scheduling conflicts across multiple time zones
- Prepare for meetings by drafting agendas, generating slide decks, creating calendar events, and communicating with attendees ahead of time
- Attend selected meetings to manage Zoom functions, record action items, and follow up with participants
- Coordinate team building events, onsite gatherings, and offsite meetings
- Submit expense reports and arrange travel bookings through Navan
- Prepare business documents and presentations using Google Suite and Microsoft Office
- Reconcile basic team travel and expense budgets while assisting with special projects
Requirements
- Possess two to four years of relevant administrative experience
- Demonstrate working knowledge of Google Suite, Microsoft Office, Navan, and Zoom
- Maintain high levels of professionalism, confidentiality, and strong judgment
- Exhibit the ability to manage multiple priorities independently and across teams in a fast-paced environment
