The organization is seeking an Equity Administrator to manage its expanding equity program across multiple countries. In this position, the professional will maintain audit-ready cap table records, process grants, handle exercises and leavers, and collaborate closely with the Finance, Legal, and People departments. This person will support 409A and local valuations, issue grants, address employee equity inquiries, and leverage AI to automate repetitive administrative workflows.
This remote-first opportunity can be performed from anywhere within Central Europe or the Eastern United States, or optionally from company offices located in London, New York, and Warsaw. Responsibilities
- Manage daily operations of the equity program to maintain an accurate and audit-ready cap table
- Process grants, vesting, exercises, terminations, settlements, and reconciliations promptly
- Partner with Finance, Legal, and People teams to implement board-approved decisions and communicate equity details
- Support local and 409A valuations while issuing grants and answering employee questions regarding equity
- Administer multi-jurisdiction equity, track globally mobile participants, and coordinate with Payroll and Tax
- Reconcile equity data against records from Accounting, Talent, Payroll, and People departments
- Supply reliable data and support to Finance for US GAAP and local reporting on stock-based compensation accounting
- Develop and document controls and equity processes, manage independent deadlines, and resolve data discrepancies
- Automate repetitive tasks using AI to improve reliability and speed
Requirements
- Hands-on experience administering equity through stock plan platforms or cap tables such as Carta
- Direct background in managing multi-jurisdiction equity, tracking mobile participants, and coordinating with Payroll and Tax
- Understanding of stock options, RSUs, employee lifecycle changes, vesting schedules, and tax-advantaged plans including UK EMI, CSOP, and US ISOs
- Proficiency in reconciling equity records with Accounting, Talent, Payroll, and People systems
- Knowledge of stock-based compensation accounting to assist Finance with local and US GAAP reporting
- Experience creating and documenting equity processes, handling confidential information securely, and communicating clearly with employees
Qualifications
- Prior experience working at a fast-growing startup
- Familiarity with 409A valuation processes
- Demonstrated track record of automating equity workflows
- Professional certification such as a CEP
- Experience supporting an IPO process or managing the transition from a private to public company structure
