In this full-time exempt position, the Practice Manager supports a designated group of associate veterinarians so they can concentrate on clinical care.
This role suits an organized professional with strong communication abilities who thrives in a fast-paced setting. The selected candidate acts as the main point of contact for roughly twenty veterinarians, managing their calendars, approving paid time off, and resolving client service escalations with empathy. The individual also collaborates cross-functionally, updates operational metrics, and proposes improvements to standard operating procedures.
The standard work schedule runs Monday through Friday from 8:00 AM to 5:00 PM Central Time, equating to 9:00 AM to 6:00 PM Eastern Time. The company is headquartered in Lutz, Florida, but this position operates remotely and requires access to reliable, secure internet along with computer hardware capable of handling multiple software platforms simultaneously.
Responsibilities
- Serve as the primary contact point for approximately twenty veterinarians, averaging eight on-call doctors daily
- Oversee daily calendars, organize schedules, and handle paid time off requests
- Monitor appointments and address client service escalations involving accidents, injuries, or unusual circumstances
- Partner with crematory relationship administrators and families when necessary
- Report updates and suggestions for standard operating procedures to senior practice managers
- Engage in cross-functional collaboration to maintain process knowledge for front-line doctor support
- Track and update departmental metrics
Requirements
- Maintain confidentiality concerning patient, client, and business records
- Comply with all applicable regulations, laws, policies, and guidelines
- Maintain access to reliable and secure internet connectivity
- Operate computer equipment for up to eight hours daily, including reading screens and typing
- Communicate frequently via telephone, email, and video conferencing tools
- Utilize standard office software and scheduling programs such as Office 365, Google Suite, Zoom, and Trello
Qualifications
- Associate degree or equivalent practical experience in business administration, management, leadership, or administrative workflows
- Bachelor degree or equivalent experience in business administration, management, leadership, or administrative workflows preferred
- Prior background in clinical veterinary medicine, practice management, or veterinary operations management
- Strong oral and written communication skills
- Ability to work independently as a dynamic problem solver
