Having recently secured a US$75M Series C funding round, the company is scaling its infrastructure to process billions of risk signals daily and define a new industry category. The organization operates in a fully remote environment with physical offices in Sydney and Hobart.

UpGuard is currently seeking a remote Marketing Business Operations Manager to serve as the operational cornerstone for the marketing division. This role oversees the entire marketing budget process, manages administrative configurations within work management software, drives process enhancements, and coordinates internal event logistics and executive scheduling.

This position is ideally suited for a professional who demonstrates independent ownership and judgment, capable of managing multiple workstreams simultaneously and collaborating with senior stakeholders. The individual will guide change management initiatives, design workflow improvements, and partner directly with leadership and finance teams to maintain governance and reporting standards.

Responsibilities

  • Manage the end-to-end marketing budget process, including annual planning, monthly forecasting, and actuals reconciliation.
  • Partner with Finance to ensure proper budget governance, documentation, and reporting standards.
  • Administer the Asana work management platform, overseeing templates, custom fields, rules, and work structure standards.
  • Identify operational friction points between marketing squads and shared services, designing and rolling out improvements.
  • Implement automation and no-code tools, including AI solutions, to scale team capacity.
  • Lead change management initiatives for new tools and processes across the marketing organization.
  • Oversee vendor invoicing, purchase order procedures, and external contractor relations.
  • Plan and execute internal marketing events, travel arrangements, and event logistics.
  • Manage meeting calendars, scheduling cadences, and agendas for marketing leadership.
  • Maintain the marketing team Notion workspace, handbooks, and presentation materials for quarterly global meetings.

Requirements

  • At least 3 years of experience designing and refining workflows and processes across teams in a shared-services or squad-based structure.
  • Demonstrated administrative-level expertise managing a work management platform like Asana or Monday.
  • Proven experience implementing automation, AI, or no-code tooling.
  • Demonstrated change management and facilitation experience in driving the adoption of new working methods.
  • Direct experience taking full ownership of a budget process from end to end.
  • Strong organizational abilities to handle multiple concurrent workstreams.

Qualifications

  • Professional background specifically within a marketing function rather than generalist operations or project management.
  • Data and reporting capabilities, such as creating capacity models to identify scaling trends.
  • Experience working with or managing external vendors and contractors.
  • Prior experience mentoring or guiding junior team members.
