Job Description
Instacart connects millions of customers with household goods and grocery delivery while offering flexible earning opportunities for personal shoppers. Operating under a Flex First model, the company gives staff the choice to work from home, an office, or another preferred location while maintaining connection through regular in-person gatherings.
The Online Grocery division is seeking a Chief of Staff to partner directly with the General Manager and support a product and R&D organization of approximately 200 members across design, product, research, and technical program management. This individual contributor position focuses on operations, program management, and people initiatives rather than managing direct reports. The role suits an organized professional with high emotional intelligence who understands how engineering, product, and design teams operate.
Key duties involve maintaining the operational rhythm for the leadership team, organizing business reviews, managing executive communications with the C-suite and board, and supporting budgeting in coordination with finance and HR. The person in this role will also help diagnose organizational health issues, translate engagement survey results into practical actions, and drive strategic planning initiatives and ambiguous new projects from inception to execution.
Responsibilities
- Manage the recurring operating rhythm for the General Manager and leadership team including business reviews, planning sessions, and all-hands meetings
- Streamline decision-making processes by clarifying choices, establishing frameworks, and ensuring follow-through on agreed actions
- Plan and run executive leadership offsite agendas, objectives, and discussions
- Serve as a strategic partner to the General Manager and coordinate briefings for meetings with key leaders
- Collaborate with HR, finance, and the General Manager to oversee headcount budgeting
- Handle planning and content creation for upward communication with the C-suite and board
- Identify organizational health signals, interpret engagement survey data, and build action plans alongside HR
- Kick off annual planning and guide new, ambiguous efforts from concept to structured execution
Requirements
- Minimum of 10 years of professional work experience
- Background in R&D via a direct role in engineering, product, design, or technical program management, an adjacent embedded role, or as an R&D chief of staff
- Prior professional experience in consulting, corporate strategy, operations, or finance working directly with executives
- Working fluency in navigating large-scale product, design, and engineering organizations
- High emotional intelligence with strong relationship-building and communication skills
- Strong analytical capabilities and program management skills to drive multiple initiatives simultaneously
- Ability to travel up to 10 percent of the time
- Must be a resident of Ontario, Alberta, British Columbia, or Nova Scotia
Qualifications
- Experience designing and facilitating leadership offsites or driving organizational and operating model changes
- Experience building with artificial intelligence tools such as prototypes, automations, or agents in professional settings
- Experience working in high-growth, technology-driven companies
