Job Description

Deputy is recruiting a remote, full-time Professional Services Operations Coordinator to help deliver consulting engagements smoothly. The role keeps operational workflows moving, looks after project systems, produces operational reports, and makes sure delivery processes run consistently across the business.

Collaboration is central. The coordinator liaises with Sales, Implementation, Finance and RevOps on routing projects, setting them up and managing customer moves between teams. Handovers from sales to delivery must be checked so that contractual commitments and deliverables are in place before work begins. Implementation work passes to Customer Success only after the coordinator reviews the implementation consultant's closing activities.

The coordinator manages professional services tooling such as Toggl and Asana, setting up projects, maintaining templates, controlling access, entering data precisely and archiving completed work. Reporting forms another large strand. Recurring dashboards for leadership cover delivery performance, capacity, utilisation, backlog and project health, alongside KPI tracking. The role also includes writing and maintaining process documents, standard procedures and playbooks, and applying AI-enabled tools and workflow automation to reduce manual effort.

Data integrity is a standing duty. The coordinator reviews operational records, project paperwork and delivery readiness in each system, and arranges prompt fixes with the right people. Three to five years in professional services operations, delivery, project coordination or a similar role is asked for, ideally in a SaaS or technology business. Hands-on work with Salesforce, Toggl, Asana and professional services automation systems is needed, along with strong spreadsheet skills in Google Sheets or Excel for capacity trackers, service-level reporting and operational packs. The successful person works independently, keeps data accurate, meets deadlines and juggles several initiatives at once.

Responsibilities

  • Coordinate with Sales, Implementation, Finance and RevOps on routing, setup and customer transitions
  • Check sales-to-delivery handovers before projects start
  • Hand implementation projects to Customer Success after a closeout review
  • Administer Toggl and Asana, covering setup, templates, access and archiving
  • Produce regular operational reports and dashboards for leadership
  • Maintain process documentation, SOPs and operational playbooks
  • Track metrics and KPIs for professional services
  • Audit operational data and arrange corrections

Requirements

  • Three to five years in professional services, delivery operations, project coordination or similar work
  • Hands-on use of Salesforce, Toggl, Asana and PSA systems
  • Strong Google Sheets or Excel skills, used for capacity trackers, service-level reporting and operational reports
  • Self-starter who runs routine work with high autonomy
  • Clear communication and attention to detail with many stakeholders
  • Ability to coordinate several cross-functional initiatives at once
  • Experience preparing reports that leaders use for decisions
