Job Description

Canonical is seeking a full-time Travel Operations Specialist within its Business Services group. The role is home based anywhere in the world, except in places where the company has offices, such as London, Taipei or Beijing.

The specialist supports colleagues and guests from many countries as they travel to company gatherings and industry events. The group defines travel policy, backs travel decisions, handles travel emergencies and manages supplier relationships. In practice this means fielding travel questions from staff, coordinating event logistics alongside the rest of Business Services, pressing travel vendors to meet their service commitments, and reviewing invoices to confirm charges are correct and refunds or credits are paid on time.

Other duties include monitoring travel patterns, spend, carbon output and adherence to policy, and keeping track of unused fares, vouchers and loyalty balances. The posting looks for people who are methodical, detail-minded and forward-thinking, and willing to take ownership of projects, procedures and policy.

The company stresses that extensive experience is not the main requirement. Instead it seeks strong organisers and communicators who want to build their skills and keep improving. Canonical operates as a distributed business, with teams meeting in person two to four times per year.

Responsibilities

  • Respond to colleagues' travel questions and sort out problems
  • Partner with Business Services on company and industry event schedules
  • Hold travel suppliers to the service they promised
  • Verify invoices are accurate and that payments, credits and refunds arrive on time
  • Track travel trends, spending, emissions and policy compliance
  • Monitor unused fares, vouchers and loyalty-programme balances

Requirements

  • Strong academic results from school through university
  • University qualification in commerce or a technical area
  • Clear, confident communication
  • Dependable and accountable, with self-awareness and a thoughtful approach
  • Able to make up to four trips a year for company gatherings running as long as a fortnight
  • Quick to pick up new technology and software
  • Upbeat, self-driven, outcome-focused team player with careful attention to detail

Core Skills

Benefits

  • Pay considers location, experience and performance, reviewed every year
  • Performance-linked bonus or commission
  • Learning allowance of USD 2,000 yearly
  • Recognition awards
  • Team meetings in person twice a year
  • Annual leave plus maternity and paternity leave
  • Support through an employee assistance scheme
  • Priority Pass membership and upgrades on long-haul company travel
